Team Assistant 
Hybrid - 4 days per week 
£39k Prorated

Central London

The Client:
Is an independant grant making foundation who are seeking a Team Assistant/PA for 6 months.  The role offers the opportunity to get involved in lots of different areas.

PA Support
  • Provide TA support to the COO and Director of People and Culture, including:
    • Diary management and meeting arrangements
    • Preparing meeting documents and presentations
    • Circulating papers for Committees
    • Booking travel and accommodations
    • Managing files and correspondence
    • Taking minutes as needed
    • Other administrative tasks as required
  • Deliver broader executive support, including project management, work planning, and follow-up actions.
  • Organise and support regular and ad hoc meetings, including agenda preparation and prompt action tracking.
Building and Service Support
  • Collaborate with the Information and Facilities Manager for efficient reception services and event support.
  • Assist with IT setup for meetings and manage reception software systems.
  • Help develop building services and projects as needed.
System Maintenance and Development
  • Maintain the Foundation’s contract and data protection systems, ensuring compliance with retention policies.
  • Manage relationships with archiving providers and support the paperless meeting system.
  • Assist in budget monitoring and maintain the Finance and Resources 'Resources Bank.'
  • Participate in cross-organisational projects to enhance operations.
Person Specification
Essential Experience and Knowledge
  • Relevant administrative experience and skills in setting up operational systems.
  • Experience in organising meetings, including agenda preparation and minute-taking.
  • Strong IT proficiency (especially MS Office) and a willingness to learn new systems.
  • Excellent organisational skills, capable of managing multiple priorities.
  • Attention to detail and ability to meet deadlines.
  • Numerate with basic financial analysis skills.
  • Strong written and verbal communication skills.
  • Alignment with Company values, particularly in social justice and equality.
  • Confident, proactive, and resourceful with a problem-solving mindset.
